Associate Operations Manager

SonoSim is seeking a SaaS experienced, highly motivated mid-level professional (five years experience) to manage the Operations Team and work as part of a larger team that is transforming the way ultrasound education is practiced. The Associate Operations Manager works with the Director of Business Operations enhancing operational processes and directly oversees team efforts. This role requires a strong attention to detail and a self-starter approach. The range of tasks will grow with the company needs and the individual.

Ideal candidates pride themselves on high-level organization with a keen awareness of details, an intense focus on delivering on-time orders, and maintaining an accurate supply chain. They are a positive coach and well-organized manager. They have relevant experience with SaaS products. As a proactive problem-solver, they are effective at balancing multiple aspects of operations (vendor relations, inventory management and forecasting, fulfillment, process improvement, product knowledge, compliance, technical support).

Responsibilities

  • Manage day-to-day business operations at SonoSim in Santa Monica including, but not limited to, organizing fulfillment priorities, overseeing quality control procedures, and product shipments.
  • Oversee office administration systems including phone, security, building access, parking, etc.
  • Ensure company operations systems are functional and performing to specified standards.
  • Assist with fulfillment and logistics.
  • Oversee management of vendor relations, physical inventory and receiving/inspection.
  • Lead department improvement initiatives on a quarterly basis, presenting project scope, plans and results to the Director of Business Operations and the Chief Operating Officer.
  • Manage ISO review and documentation revision processes.
  • Bridge gaps between sales, Director of Business Analytics and accounting to resolve questions, oversights and mistakes on orders in the fulfillment queue, or in invoicing stages.
  • Working with Director of Business Operations, create insight reports in Salesforce and/or using SF data.
    • Create and monitor annual supply chain projection reports.
    • Create and monitor ISO maintenance reports.
    • Create and monitor new user tracking reports measuring the success of seat activations during fulfillment.
  • Provide Administrative and Technical Support coverage, as needed.

Key Qualifications

  • 5 years of work experience in an Operations role in a SaaS industry.
  • Demonstrated ability to articulate complex concepts with confidence to highly educated individuals.
  • Highly organized, with the ability to plan and manage multiple projects concurrently.
  • Demonstrated aptitude for quickly learning new concepts.
  • Proven ability to manage small teams and lead by example.
  • Adaptable with exceptional customer service skills.
  • Enjoy strategic thinking with a propensity to approach problem-solving from different perspectives and methodologies.
  • Strong verbal and written communication skills.
  • Experience working with Salesforce® and Google/Microsoft applications preferred.
  • Familiarity with ISO 9001:2005 Standards preferred.

Education

Bachelor of Arts in Business Administration or Business Management, or related field

Location

Hybrid role with 32 required hours in our Santa Monica office.

Hours and Salary

This is a full time role which will constitute at least 40 hours throughout the week. Salary range is from $70,000 to $75,000, depending level and relevance of experience. Health care benefits provided.
